Privacy Policy
Effective October 14, 2026
DFW SAP Education ("we," "us") runs this website, where people take online alcohol and drug education courses and continuing-education courses for professionals. This policy explains what information we collect, why, who we share it with, and the choices you have. Questions: [email protected].
We know many of our students are going through the DOT return-to-duty process and that this is personal. We collect only what we need to run the course, prove you completed it, and send your certificate where you tell us to. We do not sell your information, and we do not use it for advertising.
Information we collect
Information you give us
- Account: your name, email address, and password (stored only in scrambled, hashed form). Phone number is optional.
- Driver courses: your Substance Abuse Professional's (SAP's) name, email, and phone, so we can send them your certificate. Optionally, the last 4 digits of your CDL or driver's license, printed on your certificate to help your SAP match it to you.
- Professional courses: your license type, license number, and state. Licensing boards require these on continuing-education certificates.
- Your course work: your answers to knowledge checks and exams, including written reflection answers; written assignments; questions you send the instructor; and course evaluations.
Information collected as you use the course
- Time and progress: which lessons you open and complete, and how much active time you spend on each. While a lesson is open and visible on your screen, your browser checks in with our server about every 30 seconds. We use this to confirm you met each lesson's required time.
- Activity record: a log of course events (for example, starting a lesson, submitting a quiz, paying, receiving a certificate) with the date, time, and the internet (IP) address it came from. Licensing boards and certification bodies require providers to verify participation, and this record also helps us handle disputes.
- Payments: the amount, date, and Stripe's reference numbers for your payment and any refund. Card payments are handled entirely by Stripe. We never see or store your card number.
Cookies
We use only the cookies the site needs to work: one that keeps you signed in (it expires after 12 hours) and one that protects forms from forgery. We do not use analytics, advertising, or tracking cookies, and we don't load third-party tracking scripts.
How we use your information
- To run your account and courses, track your progress, and grade your work.
- To issue your certificate, send it to you (and, for driver courses, to your SAP), and let others confirm it is genuine.
- To take payments and give refunds.
- To let the instructor review assignments and answer your questions.
- To answer your messages, prevent fraud and cheating, and keep the site secure.
- To keep the records that licensing boards and certification bodies require of course providers.
- To improve our courses, using course evaluations and overall results.
Who we share it with
- Your SAP (driver courses). When you finish, we email your certificate to the SAP email address you gave us. The certificate includes your name, the course, hours, your final exam score, the date, the last 4 digits of your license if you entered them, and a summary page showing time and scores for each module and each final exam attempt. Your written reflection answers and individual quiz answers are not included. We share them with your SAP only if you ask us to in writing.
- Anyone who has your certificate code. Our public verification page shows your name, the course, hours, score, date, and license last 4 digits for a valid code. That lets an SAP, employer, or licensing board confirm the certificate is real. The code is printed on your certificate, so whoever you give it to can check it.
- The instructor. For courses with instructor-reviewed assignments, and when you use "Ask the instructor," the instructor receives your name, email, and what you wrote.
- Licensing boards and certification bodies, if they audit our courses or ask us to verify your completion.
- Service providers that run the site for us: Stripe (payments), DigitalOcean (hosting, database, and file storage), and our email delivery provider. They may use your information only to provide their services to us.
- When the law requires it, for example to answer a subpoena or court order, or to protect someone's safety.
- If the business is sold or reorganized, your information may transfer to the new owner, who must follow this policy.
We do not share your information with your employer unless you give us written permission or the law requires it.
How long we keep it
We keep your account, course records, and certificates for at least 5 years after you complete the course. That way certificates can still be verified, and we meet record-keeping rules for continuing-education providers. Payment records are kept as long as tax law requires. After that, we delete or anonymize records we no longer need.
Your choices
- See and correct: you can update your name, phone, and license digits on your Account page. For anything else, email us.
- Get a copy: email us and we will send you a copy of your account and course records.
- Delete: email us to close your account. We will delete what we can. We keep certificate, completion, and payment records for the period above, because SAPs, licensing boards, and tax law rely on them. We will tell you what we kept and why.
- Email: we send only emails about your account and courses. We don't send marketing email.
We respond to requests within 45 days and may ask you to confirm your identity first. If we deny a request, you can appeal by replying to our answer, and we will review it again.
Security
The site uses encrypted connections (HTTPS). Passwords are stored only in hashed form, staff accounts require two-step verification, and certificate files are stored privately and can be opened only through short-lived links. No system is perfectly secure. If a breach affects your information, we will notify you as the law requires.
Education, not treatment
These are education courses, not counseling or treatment. We are not a substance use disorder treatment program, and course records are not medical records. Please don't put information in your answers that you wouldn't want course staff to read.
Children
This site is for adults. We don't knowingly collect information from anyone under 18.
Changes to this policy
If we change this policy, we will post the new version here with a new effective date. If the change is significant, we will also email account holders.
